Flying with medical equipment: a practical preparation guide

Start with the exact device

Write down the manufacturer, model, serial number, dimensions, weight, battery chemistry, rated wattage, and power-supply input. Airline policies often depend on the exact device and battery—not just a general category such as ventilator or wheelchair.

  • Download the device manual and battery specification sheet.
  • Photograph labels on the device, power supply, and batteries.
  • Save manufacturer support numbers for your destination.

Contact the airline early

Ask the airline's accessibility or medical desk what advance notice, forms, and approvals it requires. Explain whether the device must operate in flight, how many batteries you will carry, and whether the equipment can remain attached to your wheelchair.

  • Request assistance and seating needs in the same conversation.
  • Ask how the device will be screened and stowed.
  • Keep a dated record of the guidance you receive.

Build redundancy into the plan

Keep essential equipment, medication, cables, and critical consumables with you whenever rules allow. Plan for delays, missed connections, damaged luggage, and unavailable outlets.
